If a company, travel coordinator, executive assistant, event planner, travel agent, family member, or other third party books on behalf of a passenger, that party is responsible for providing accurate reservation information and sharing applicable booking terms with the passenger.
2. Reservations and Booking Confirmation
A reservation is not considered fully confirmed until Empire Limousine has accepted the booking details and issued a confirmation by email, phone, text message, booking platform, or dispatch system.
Incorrect, missing, outdated, or incomplete trip information may cause delay, additional charges, pickup problems, or service limitations.
3. Rates, Quotes, and Additional Charges
Quotes are based on the information provided at the time of the request or reservation. A quoted rate may depend on pickup and drop-off locations, requested vehicle class, service duration, travel date, passenger count, luggage requirements, planned stops, airport conditions, and other reservation details.
Final charges may change when trip details change, additional stops are added, waiting time occurs, service extends beyond the reserved period, or special toll, parking, airport, event, after-hours, or operational conditions apply.
Common Charges May Include
- Base fare for the requested route or reserved service period.
- Airport access fees, parking costs, tolls, and applicable surcharges.
- Meet and Greet service charges when requested or arranged.
- Waiting time after an included grace period expires.
- Extra stops, route changes, additional mileage, or extended service time.

4. Payments, Deposits, and Billing Authorization
Empire Limousine may require a valid payment method, deposit, prepayment, signed authorization, or approved corporate billing arrangement before transportation service is provided.
By providing payment information, the customer authorizes applicable charges connected with the reservation, including the confirmed fare, additional service time, tolls, parking, waiting time, approved trip changes, cleaning charges, damage charges, cancellation fees, no-show charges, and other properly incurred reservation costs.
Payment Terms
- Payment may be collected before, during, or after service depending on the booking arrangement.
- Corporate accounts must remain current and comply with approved billing terms.

5. Airport Pickup and Flight Information Policy
Airport transportation depends on accurate flight and passenger details. Customers should provide the airline, flight number, arrival airport, arrival date, passenger contact number, and terminal information when known.
Empire Limousine may use available flight information to support airport pickup planning. Flight monitoring does not eliminate delays caused by inaccurate airline data, terminal changes, customs processing, immigration, baggage delays, airport congestion, security restrictions, weather, traffic, road closures, or other operational conditions.
Meet and Greet Service
Meet and Greet service may be available by request at selected airports. Depending on the airport and reservation, additional parking, waiting, terminal access, or coordination charges may apply.
6. Waiting Time, Grace Periods, and Overtime
Waiting time may begin after the applicable included grace period expires. The grace period can vary according to service type, pickup location, airport arrangement, vehicle class, and confirmed reservation terms.

- The passenger is not ready at the confirmed pickup time.
- The passenger cannot be reached through the contact details provided.
- Baggage, customs, immigration, or terminal delays continue beyond the applicable grace period.
- The passenger requests an unscheduled stop, delay, or route adjustment.
- Hourly service extends beyond the confirmed reservation period.
Waiting time and overtime charges may vary by vehicle type, service market, pickup conditions, and the terms shown in the reservation confirmation.
7. Reservation and Trip Changes
Reservation changes should be requested as early as possible. Changes may include pickup time, pickup location, drop-off location, passenger count, luggage count, vehicle type, flight number, planned stops, service duration, or billing information.
Empire Limousine will make reasonable efforts to accommodate requested changes. Approval depends on chauffeur availability, vehicle availability, dispatch conditions, airport procedures, traffic conditions, and existing transportation commitments.
A Change Request May Result In
- An updated fare or additional charge.
- A different available vehicle class.
- An adjusted pickup arrangement.
- A new reservation confirmation.
- Cancellation and rebooking when the original service arrangement can no longer be fulfilled.
8. Cancellations, Refund Reviews, and No-Shows
Cancellation requirements may vary according to the service type, requested vehicle, pickup market, trip distance, event schedule, reservation value, and the amount of notice provided before pickup.
No-Show Policy
A reservation may be treated as a no-show when the passenger does not appear at the confirmed pickup location, cannot be contacted using the information provided, leaves the pickup area without notifying dispatch, or provides incorrect trip information that prevents the scheduled pickup.
Refund Review
Any refund request may be reviewed according to the reservation type, cancellation timing, vehicle assignment, chauffeur assignment, dispatch status, services already performed, and costs already incurred in preparing for the reservation.
Weddings, proms, group transportation, hourly charters, specialty vehicles, major events, peak-demand dates, and international arrangements may have separate or stricter cancellation requirements.
9. Passenger Responsibilities and Conduct
Passengers must use the vehicle in a lawful, respectful, and safe manner. Passengers must follow reasonable safety instructions provided by the chauffeur and must not interfere with safe vehicle operation.
Passengers May Not
- Smoke or vape inside a vehicle where prohibited by company policy or applicable law.
- Damage, misuse, alter, or remove vehicle equipment.
- Threaten, harass, distract, or interfere with the chauffeur.
- Exceed the lawful seating capacity of the assigned vehicle.
- Request unsafe, illegal, or prohibited driving, stopping, or parking behavior.
- Bring hazardous, illegal, or prohibited materials into the vehicle.
Service may be refused, suspended, or terminated when passenger conduct creates a safety, legal, operational, or vehicle risk. Applicable charges may still remain due.
10. Vehicle Availability and Substitution
Empire Limousine makes reasonable efforts to provide the reserved vehicle class. Specific vehicle models, model years, colors, features, seating layouts, and website images may vary according to market and fleet availability.
A comparable or upgraded vehicle may be substituted when necessary because of maintenance, safety concerns, weather, previous-trip delays, mechanical issues, unexpected demand, or other fleet availability conditions.
11. Luggage, Personal Property, and Lost Items
Customers should provide accurate luggage information before pickup. Oversized luggage, sports equipment, boxes, trade show materials, strollers, mobility equipment, or additional bags may require a larger vehicle.
Passengers are responsible for checking the vehicle for personal belongings before leaving. If an item is found after a trip, Empire Limousine may make reasonable efforts to help coordinate its return.
Shipping, courier service, chauffeur return time, waiting time, mileage, tolls, parking, or other costs associated with returning an item may be charged to the customer.
12. Delays, Service Limitations, and Liability
Transportation can be affected by circumstances outside reasonable operational control. These may include traffic congestion, accidents, road closures, severe weather, airport restrictions, airline delays, security incidents, police activity, government action, public events, emergencies, mechanical issues, or force majeure events.
Customers are responsible for selecting pickup times that provide an appropriate travel margin for flights, meetings, cruises, appointments, events, and other time-sensitive commitments.
Service Limitations
To the extent permitted by applicable law, Empire Limousine is not responsible for indirect or consequential losses arising from circumstances outside reasonable control, including missed flights, missed meetings, missed events, unused tickets, or related third-party costs.
13. Website Use and Online Information
The Empire Limousine website provides general information about transportation services, quote requests, reservations, fleet categories, service areas, airport transportation, and customer support.
Website content may be corrected, updated, expanded, removed, or changed when services, markets, fleet availability, policies, or operational requirements change.
